St. Mary’s Early Childhood Center of Indianapolis, Indiana is seeking full-time and part-time Assistants to help teachers in the classroom. St. Mary’s Early Childhood Center is a NAEYC accredited, licensed, Level 4 Paths to Quality preschool following the principles of the Reggio Emilia philosophy. Our mission is to serve children in poverty with lifelong learning leading to lifelong success.

Starting salary: $15/hour

The persons seeking this position must have the following:

  • Possess the ability to catch a fleeing child
  • High school diploma or equivalent

Secretary at Thompson Building

St. Mary’s Early Childhood Center of Indianapolis, Indiana is seeking a Secretary for our office. The individual will perform front office duties and aid the Front Office Manager, Site Administrator, Executive Director, and others on the administrative team to carry out daily responsibilities effectively and efficiently.

St. Mary’s Early Childhood Center is a NAEYC accredited, licensed, Level 4 Paths to Quality preschool following the principles of the Reggio Emilia philosophy. Our mission is to serve children in poverty with lifelong learning leading to lifelong success. This role will report weekdays from 7 AM to 3 PM

Starting salary: $15/hour

The duties of this position include:

Opening the Building

  • Enter the parking lot door and turn off the alarm.
  • Unlock front door.
  • Turn on lights throughout facility
  • Check visitor sign in sheet (Change if full)
  • Check email and voicemail
  • On Mondays set out new employee sign in sheet
  • Monitor who is going into Before Care (check list)

Greeting

  • Greet and assist families and children learning their names and faces.
  • Treat everyone with respect.
  • Greet and assist visitors, clients, volunteers, donors by being pleasant, welcoming, and patient.
  • Make sure families swipe their CCDF / OMWPK cards, assist them with machine if needed.
  • Assist families with tuition payments.
  • Provide families any information as directed by site director.
  • Relay any family concerns immediately to the site director and/or coach.

Office Duties

  • Perform General Office Duties (scanning, copies, mailings)
  • Work congenially and assist the Front Office Manager and Site Director.
  • Communicate well with all staff.
  • Answer the phones and forward calls, if necessary. Take phone messages for classroom staff.
  • Listen to main line voicemail and give messages to appropriate people.
  • Take attendance daily.
  • Check reason for absences with families daily and record.
  • Keep records of field trips, staff and children and mode of transport. (walking/bus)
  • Assist with new enrollment, checking required paperwork.
  • Request any missing paperwork from families (physicals, shot records etc.).

File

  • Keep children’s files in order according to licensing standards
  • File for Development Department as needed
  • File for Controller and prepare file folders one time per year.
  • Sort child files present to archive. File archive in office, workroom, and when necessary, prepare for archives at Xavier Center per procedure.
  • Learn Procare (Children & Family information portal)
  • Distribute mail between buildings, deliveries from vendors.
  • Organize supplies and order when list what is needed with Front Office Manager
  • Assist with mailings as needed.
  • Keep wall calendar up to date.
  • Make reminder calls for intake appointments.
  • Provide support to both the Executive Director and Chief Operating Officer when necessary.

 

Qualifications:

 

  • Minimum high school diploma or equivalent.
  • Must be over 18 years of age.
  • Acceptance of the beliefs and ways of work of the St. Mary’s Child Center.
  • This position requires written and verbal communication skills, ability to organize large amounts of information, accuracy, and attention to details.
  • Proven experience with word processing is required.
  • Ability to understand and speak some Spanish is ideal.
  • Ability to maintain confidentiality is required.
  • Must take direction well.
  • Must bring your joy to work.

The persons seeking this position must have the following:

  • Bachelor’s degree in Early Childhood or NAEYC equivalent
  • Reggio Knowledge
  • Ability to facilitate best practices in Early Childhood
  • Respect for children, their unique personalities and cultures
  • Respect for families and a willingness to engage positively with them
  • Enthusiasm for children, wanting to make a difference to each and every child
  • Disposition to work positively with others in a collaborative atmosphere
  • Good communication skills with students and families; This includes documentation that is part of the Reggio Influenced curriculum
  • Complete state reporting
  • Creativity and flexibility to be able to change the day to meet the needs and interests of the children
  • Possess the ability to catch a fleeing child
  • Spanish-speaking preferred, not required
